Where Administration Meets Calling

The Director (Shepherd) of Administration exists to honor Jesus Christ and strengthen the Church through effective administrative ministry. This is a full-time, 40-hour-per-week position reporting directly to the Senior Pastor/Head of Staff.

This role touches nearly every part of church life — from communications and facilities to finances and volunteers. You’ll serve as the hub for church operations, keeping Chapel by the Lake organized, welcoming, and running smoothly so that ministry can flourish.

 

A Role with Real Breadth

No two days are alike. Here’s a picture of what this role encompasses:

  • Serve as the communications hub — overseeing bulletins, presentation software, website content, social media, and database accuracy
  • Ensure Chapel facilities and equipment are clean, safe, and well-maintained through staff, volunteers, and contractors
  • Oversee financial operations alongside the Finance Team — budget reporting, bill payment, giving records, and coordination with our outside accounting firm
  • Maintain all church and HR records, including Session minutes, membership rolls, personnel files, and policy documents
  • Manage the master facility use calendar and coordinate the Facility Host program
  • Create and coordinate communication tools — flyers, digital media, and Facebook ads
  • Recruit, direct, and deploy volunteers as the primary office presence for the church
  • Maintain and regularly update the Administrator Operations Manual

Full Job Description

Qualifications & Core Competencies

  • People/Volunteer Management: Provide direction, gain commitment, facilitate change, and achieve results through the efficient, creative, and responsible deployment of volunteers; engage people in their areas of giftedness and passion.
  • Attention to Detail: Carefully handle all components to create an organized result; follow up on discrepancies or missing items, resolve outstanding questions, and maintain awareness of the overall goal while managing details.
  • Interpersonal Skills: Establish good working relationships with all others relevant to the completion of work; work well with people at all levels of the congregation; build appropriate rapport; consider the impact of actions on others; use diplomacy and tact; be approachable; avoid communication triangles.
  • Technical Expertise: Acquire and demonstrate the technical skills required to proficiently execute the essential functions of the ministry. These areas include website management, social media, basic network/IT, graphic design (Canva), electronic communication systems and tools, QuickBooks, MS applications, and database management.
  • Priority Setting: Spend time and direct the time of others toward what is important; quickly zone in on the critical issue and ignore or minimize distractions; eliminate roadblocks; demonstrate focus.

Employment Guidelines & Expectations

The Director (Shepherd) of Administration will:

  • Embrace and fully support the mission and core values of Chapel by the Lake.
  • Utilize volunteers to be the office presence for Chapel by the Lake, ensuring all people are greeted, helped, and/or referred to the appropriate place or person.
  • Coordinate and act as the hub for church communications — including worship media (bulletins, PowerPoint/Proclaim), church database accuracy, website content, and social media.
  • Ensure the cleanliness, safe condition, and good repair of Chapel facilities and all related equipment and materials, in coordination with staff, contractors, vendors, and volunteers.
  • With the support of the Finance Team, oversee regular financial policies and activities — including budget reporting, liaising with the outside accounting firm, payment of bills and invoices, income and giving reports, building use fees, and expense reports.
  • Report to the Senior Pastor/Head of Staff.

Duties Include

  • Perform and/or delegate routine office duties, such as distributing mail and ordering office and facility supplies.
  • Ensure Chapel facilities and equipment are well managed and maintained — including maintenance of group contracts/agreements, necessary insurance riders, and a consistent maintenance and safety program.
  • Create and coordinate communication tools (flyers, websites, digital media, Facebook ads).
  • Attend staff meetings.
  • Ensure church and HR records are kept and maintained — including Session minutes, covenant partner (membership) rolls, confidential personnel records, church directory and database, and policy and procedures.
  • Implement a scheduling procedure and maintain a master facility use calendar.
  • Coordinate the Facility Host program, including overseeing the booking schedule and coordinating with the Hospitality Team.
  • Regularly edit and update the Administrator Operations Manual.
  • Perform other duties as assigned by the Senior Pastor/Head of Staff.

Hours & Compensation

Hours: 40 hours per week, Monday through Friday. Office hours are between 9 a.m. and 5 p.m., scheduled by the Head of Staff.

Compensation: DOE. Health insurance, paid holidays, leave hours, and other benefits as defined in the Chapel by the Lake Employee Handbook.
